# Office gift exchange tool for teams

GiftMyCrew runs your office gift exchange from one link. Paste the team roster, set a budget and a date, and post the link in Slack or Teams. Each person reveals their match on their own device and adds a wishlist. Nobody hands over an email address, and there's nothing to install or sign up for.

## How to run an office Secret Santa

1. **Paste the roster.** Copy names from your team list or a spreadsheet and paste them in, one per line or separated by commas. One draw holds up to 100 people.
2. **Set the budget and the date.** Both show to everyone who opens the link, so nobody has to ask what the limit is or when the party is.
3. **Post the link in your team channel.** Share the group link in Slack, Teams or a team email. Pinning the message makes it easy to find later.
4. **Let people reveal and add wishlists.** Each person taps their name, sets a 4-digit PIN and sees who they're buying for. Then they add up to 30 gift ideas for their own Secret Santa.

## Why run an office Secret Santa without collecting emails?

A gift exchange needs names and a way to reach people, and your team already has the second one. Collecting personal email addresses on top of that creates a list someone has to look after, for a one-off event.

With GiftMyCrew, the organizer types names and nothing else. There are no accounts, no mailing list and no ads, and the exchange is deleted automatically after 90 days without activity, or 30 days after the event date, if that's later. That keeps it simple for whoever is organizing, whether that's HR, a team lead or a volunteer.

## How much should an office Secret Santa cost?

There's no standard amount, and the right one is whatever nobody on the team will feel stretched by. A modest limit keeps it fun for everyone, from the newest hire to the most senior person in the draw.

Set it when you create the exchange and it appears on everyone's page, next to the date. People buying for someone they barely know usually appreciate a wishlist even more than a limit, so ask everyone to add a few ideas early.

## Does it work for remote and hybrid teams?

Yes. Everyone reveals their match on their own device, wherever they are, so the draw doesn't need a meeting. Wishlist ideas can be links from any online store, which makes it easy to order a gift and have it shipped straight to a colleague in another office.

If gifts are being posted, set the exchange date with delivery times in mind and say in the channel whether gifts should arrive before a video call or can turn up any time that week.

## What if someone joins or leaves the team?

If someone leaves before the exchange, the organizer removes them from the share page. Whoever drew them gets the person they were buying for, and nobody else's match changes. You get a message to post in the channel that asks whoever had them to check again, without saying who that is.

If a new starter wants in, the organizer adds them from the share page and they're fitted into the draw. One person, picked at random, gets them instead, and everyone else keeps their match. If anyone has already looked, you get a message to post asking everyone to check again.

## Frequently asked questions

### Is this suitable for a workplace?

Yes. Because we collect no email addresses and require no accounts, there's nothing sensitive to manage. Exchanges auto-delete after 90 days of inactivity, or 30 days after the event date, if that's later.

### What if someone leaves the team before the exchange?

The organizer removes them from the share page. Whoever drew them gets their match instead and nobody else's changes, unless your blocked pairs rule that out, in which case everyone is redrawn. Wishlists are kept either way.

### Can the organizer see who drew whom?

Not from the share page, which lists names and links. But the organizer holds everyone's private link, and opening one shows that person's match. If your organizer is taking part and that matters, ask someone outside the exchange to set it up.

### Can we run separate exchanges for different teams?

Yes. Each exchange has its own link, budget and date, so you can run one per team or per floor. People then buy for someone they actually work with.

### Do participants need the app?

There is no app. Everything runs in the browser on any phone or computer, with large touch-friendly buttons for mobile.
